Email - Resource booking

This page will introduce what emails will be sent out by different actions in resource booking.

Create booking

When the organizer create a booking, system will send:

  1. "Booking created" email to the organizer;
  2. "Meeting invitation" email to the attendees (if any);
  3. "Meeting invitation" and "visitor registration badge (based on visitor management setting)" email to the external attendees (visitor) (if any);
  4. "Service request" email to the service support (if any);
  5. "Visitor arrival" email to the booking organizer when the external attendees (visitors) arrive and check-in in reception;

Edit booking

When the organizer edit a booking, system will send:

  1. "Booking edited" email to the organizer;
  2. "Meeting updated" email to the attendees (if any);
  3. "Meeting updated" email to the external attendees as visitors (if any);
  4. "Service change request" email to the service support (if any);
  5. "Visitor arrival" email to the booking organizer when the external attendees (visitors) arrive and check-in in reception;

Cancel booking

When the organizer cancel a booking, system will send:

  1. "Booking deleted" email to the organizer;
  2. "Meeting cancelled" email to the attendees (if any);
  3. "Meeting cancelled" email to the external attendees as visitor (if any);
  4. "Cancel service" email to the service support (if any);

Tentative booking

When the organizer create a booking that required approval, system will send:

  1. "Booking approval request" email to booking manager(s) of the resource;
  2. If the booking manager(s) approve the booking, system will proceed to the "Create booking" flow;
  3. If the booking manager(s) reject the booking, system will send the "Booking rejected" email to the booking organizer;
